Guide app — user manual

Everything you need to know to run your day with confidence.

1Quick start

The app has four main tabs at the bottom of the screen. Tap to switch between them at any time.

  • Records
    Your clients of the day, cash, and disclaimers.
  • Planning
    Your schedule for this week and next, plus availability submission.
  • Pay
    Your monthly remuneration summary, broken down by tour.
  • Knowledge
    Emergency protocols, training, certifications, tour info.

2Records · daily tours

Records lists the tours assigned to you for each day, with the booked clients on each tour. Use the ‹ › arrows above the date to navigate between days.

What each badge means

  • Cash · Rs X — client is paying cash on the day. Tap the pill once cash is in hand to mark received (turns green).
  • TBC · no clients — a tour is on your planning but no booking yet. Could fill in last-minute.
  • STANDBY — no specific tour assigned; you're on call for unexpected demand.
  • Sign / X/Y signed — disclaimer status for the booking.
Records auto-refresh every minute when you're on this tab, and instantly when you bring the app back from the background. If a last-minute booking arrives, you'll see it within a minute without lifting a finger.

3Disclaimers · client waivers

Clients sign a liability waiver before the activity. There are two ways this can happen:

  1. Pre-tour link — Yanature sends a WhatsApp the day before with a sign link. The client signs from home; you see X/Y signed with a small pre-tour badge in their record.
  2. On the spot — if the client hasn't signed, tap Sign on their record at the meeting point. Hand them the phone and they fill in name, email, medical disclosures, and draw their signature.

When all participants of a booking have signed, the button turns into X/Y signed — tap it to view each signed waiver as a proper PDF document. You can print or save it from there.

No internet, no problem. If you sign a waiver in the forest with no signal, the signature is stored on the phone and sent automatically as soon as you're back online. An orange banner shows "X signatures will sync when online" while pending.

4Planning · schedule & availability

My Schedule

Two cards: this week and next week. Each lists your assigned tours by day with start times. Tap a tour to jump to that day in Records. Tap Add this week to my calendar to export everything to your phone calendar as an .ics file.

Availability

The submission window opens Friday through Monday for the week starting the following Monday. Tick AM / PM per day for the activities you can run. The form locks at Monday 23:59 sharp.

From Tuesday to Thursday the form shows a confirmation card with your last submission (read-only). If you need to change something after the deadline, contact Shannon — she can reopen it for you.

5Pay · monthly summary

Open the Pay tab and pick a month from the dropdown. You'll see:

  • YN / ND tour counts — Yanature Ltd vs Nature Discoveries Ltd activities.
  • Total Pay — gross monthly total.
  • Breakdown — by category: Hiking/Canyoning, Kayak/E-bike, fuel allowance, monthly allowance.
  • Per-tour list — each tour with date, type, and amount earned. Sat/Sun/Public-holiday bonuses are highlighted.
Pay data is calculated from the validated planning + your grade + tour rates. Numbers are illustrative until you have actual completed tours.

6Knowledge · training & safety

The Knowledge tab has four sections:

  • Profile · Activities — what you're qualified to run.
  • Formal training · Certifications — First Aid, WFA, Canyoning levels, E-Bike, Sea Rescue. Expiry dates shown when applicable.
  • Emergency & safety protocols — what to do for injury, cyclone, lost client, missing equipment. Works fully offline.
  • Yanature LMS — internal training courses (WFA, Guide Knowledge Manual). Tap a course to read chapters and lessons.

7Offline mode

The app keeps working when you're out of signal:

  • Records — last loaded days stay viewable.
  • Disclaimers — templates are cached. You can run the full signing flow.
  • Emergency protocols — always available.
  • Pending signatures — automatically sent once your phone is back online. No action needed from you.
Open the app at home over wifi before heading out — that warms the cache for the day. Once in the forest the app behaves the same with or without signal.
